TITLE: Aurora Dialogues and Humanitarian Index Project Manager

START DATE: ASAP

DURATION: Until June 30th, 2017 with contract prolongation opportunity and 3 months of probation period

LOCATION: The position is primarily based in Yerevan, Armenia with travel possibility

JOB DESCRIPTION

The main areas of responsibilities include:

  • Aurora Dialogues project coordination: coordinates and provides support to Aurora Dialogues project (incl. academic dimension development and coordination and stakeholders relationship management)
  • Humanitarian Index project coordination: coordinates and provides support to Humanitarian Index project (incl. academic dimension development and coordination)
  • Aurora Prize Award Ceremony and Special Events (April 21-24 events) support: provides necessary support as a coordinator

JOB RESPONSIBILITIES

Aurora Dialogues project coordination

  • Coordinates the Aurora Dialogues project at each of the key stages:
    • Development of a preliminary program and a list of potential speakers, moderators and other contributors
    • Final confirmation of the speakers, moderators and the conference’s content
    • Launch of a dedicated section at www.auroraprize.com
    • Distribution of the briefing materials (including Aurora Humanitarian Index)
    • The conference brochure preparation and print out
  • Schedules internal and external meetings and calls, being responsible for preparation of all necessary materials and presentations as well as for distributing meeting minutes in a timely manner
  • Coordinates development of the Aurora Dialogues related materials (e.g. programs, presentations, brochures, information packs and etc.) and keeps them updated in the project’s shared folder
  • Communicates with the Aurora Dialogues project partners and consultants.

Humanitarian Index project coordination

  • Coordinates the Humanitarian Index project at each of the key stages:
  • Research proposal preparation, consultation with potential partners
  • Selection of a partner(s)
  • Debrief and formulation of the Index framework and scope
  • Index questionnaire development
  • Programming of survey and launch of field work
  • Preliminary results discussion
  • Review and packaging of the Index
  • Finalization of Index and deliverables
  • Publication and distribution
  • Schedules internal and external meetings and calls, being responsible for preparation of all necessary materials and for distributing meeting minutes in a timely manner
  • Communicates with the Humanitarian Index project partners and consultants.

Within both projects focuses on academic stakeholders’ relationship management

  • Manages and develops of relations with the global humanitarian stakeholders, focusing on the professional academic community (institutions and research centers)
  • Communicates proactively with Academic stakeholders, ensures timely response to any inquiries.
  • Identifies potential partners and manage relations

Aurora Prize Award Ceremony and Special Events

Before and at the time of April 21-24 Aurora events:

  • Provides support as a coordinator for the Aurora Dialogues participants and Humanitarian index partners, including commutations with assigned key stakeholders, responding to their inquiries, sending follow-up letters and relevant materials, insuring the receipt of invitations and the event program, following up and encouraging their attendance, assisting with registration and etc
  • Tracks incoming inquiries from the abovementioned guests at the general Aurora email box aurora@the100lives.com and Aurora Prize Ceremony email box auroraceremony@the100lives.com and coordinates timely response
  • Collaborates with the event team on the guest relationship management, including logistic coordination and distribution of the invitations and programs for the abovementioned category of guests
  • During the Aurora events coordinates of one of the groups of guests and ensures their appearance at events hosted by Aurora Humanitarian Initiative.

REQUIRED QUALIFICATIONS

  • At least a Bachelor’s degree in a relevant field
  • 3-5 years of experience in PR, Marketing, event or project management; international work or academic experience is a must
  • Superior managerial skills, ability to influence and engage direct and indirect reports
  • Result oriented with the ability to multi-task and work cross-functionally
  • Excellent relationship and communication skills
  • Ability to work as part of the team, while being self-motivated
  • Excellent organizational skills and attention to detail
  • Excellent knowledge of English both oral and written is a must, knowledge of Armenian or Russian is desirable
  • Proficiency in MS Office
